Information for Speakers and Presenters
2021 SOAP Annual Meeting 

Thank you to all who submitted an abstract for SOAP’s 53rd Annual Meeting. We received hundreds of high-quality abstracts, and we are looking forward to the dynamic and informative presentations.

All those who submitted an abstract for consideration were notified via individual email and through the abstract management system on March 30. However, we know email security settings can sometimes block these communications. If you have not received your notification (accept or decline), please email [email protected] to confirm your status and the date/time of your presentation if applicable.

Important Dates:

  • April 23 – Last day for discounted registration
  • April 30– Last day to pay abstract fee to be listed in the program
  • May 3 – Presentations due to SOAP HQ (no changes to presentations after this date)
  • May 9 – Presentations for Gertie Marx Competition & Best Paper Competition due to SOAP HQ (no changes to presentations after this date)
  • May 9 - Presentations due for Invited Lecturers (did not submit an abstract but are speaking) to SOAP HQ as a backup.  
  • May 13-16 – Annual Meeting (please check your confirmation for the specific date and time of your session, and plan to be available in the “ready room” 15 minutes prior)

FOR ALL SPEAKERS - the below is important information for your presentation:

Abstract Fee
All accepted abstracts are subject to a $40 fee per abstract ($20 fee for those in low or middle-income countries). This fee allows us to present abstracts in a virtual format during the meeting dates and on-demand after the meeting. If your abstract has been accepted, please pay the abstract fee online. The deadline was April  23. 

Register to attend the Annual Meeting
All presenters must register. If you have not already done so, be sure to register for the meeting.

Speaker Disclosure Form and Tasks
You will receive an email directly from ASA to complete the required CME disclosure forms. Please complete your disclosure promptly. You will also receive an email from the Cadmium abstract platform where you will confirm title and description, provide learning objectives and take-away points, etc. This is a required and important element to promote your session/presentation.

Presentation Time Length & Number of Slides
There are a variety of sessions during the Annual Meeting. The session have different expectations for the number of slides in your presentation as well as the maximum length of time allocated.   View the various expectations and requirements.

PowerPoint Format and Template
All presentations must be PowerPoint and utilize widescreen 16:9 format. Other sizes and formats will be rejected. Animations and slide transitions are discouraged as they may not render correctly when streamed.  The optional SOAP 2021 Annual Meeting PowerPoint template or title slide is available for download below. Presenters are not required to use the template. If you are presenting live, to help ensure your presentation is a success we also have some tips for virtual presenters. For those who were scheduled for pre-recorded presentation, here are instructions on how to pre-record your presentation in ZOOM

Uploading your Presentation
Please upload your finalized PowerPoint slides using WeTransfer on or before the due date indicated on your confirmation letter (May 3 for most). Include the session name, abstract number and presenter’s full name, and follow the other instructions provided in the Speaker Information letter. Make sure your slides are final, as there are no changes after the submission deadline.

How to Use the Virtual Platform (AccelEvents)
A webcam is required for presenters (presentations cannot use a microphone only) and we ask that speakers use the Chrome browser to access the system. We will provide a link for speaker to enter and use the virtual platform. In addition to the SOAP's recorded webinar, the software platform we are using, AccelEvents, holds webinars for speakers and presenters every Monday at 11:00am Eastern. You can register for a date that best suits your schedule if you would like additional information.
